Administrative Assistant
Color Vision is looking for an Administrative Assistant. The Administrative Assistant is responsible for handling project documentation, event assistance and correspondence in support of one or more managers.
Responsibilities:
Read and analyze incoming memos, letters, and reports to determine their significance and distribute appropriately.
Create and maintain project information in project management system; create subcontracts, purchase orders, change orders and their respective attachments as well as generating transmittals per Project Manager's request for plans and specifications and pay requests.
Correspond on routine inquiries with subcontractors and vendors at the beginning and throughout the duration of a project, call or email correspondence. as needed.
Coordinate invoice routing and monitor payments to subcontractors and vendors.
Enter and maintain client and prospect data in automated system.
Answer and direct phone calls or take messages for appropriate parties.
Verify insurance certificates and follow up to insure proper coverage is in place.
Prepare agendas for meetings and make arrangements, such as coordinating catering for luncheons, for committee, and other meetings.
Perform general administrative duties such as but not limited to; filing, photocopying, taking and distributing meeting minutes, managing schedules, coordinating travel arrangements, scheduling appointments with internal and external parties, providing back up to switchboard, ordering supplies, sorting and distributing correspondence and maintaining database records.
Requirements:High School Diploma, GED or equivalent.
1-2 years of experience providing administrative support preferably in the A/E/C industry
Knowledge of administrative and clerical procedures and systems such as word processing, e-mail, spreadsheets, and managing files and records and other office procedures at a proficient level.
Proficient in MS Office
General basic knowledge of and ability to learn project management software such as Revit, VICO and other related programs and systems

The Role & Team:
The creative director will influence all decisions about Insider’s brand, design, and user experience from within the newsroom. We’re looking for someone who is imaginative, yet practical; is big picture, yet hands-on; and has the ability to take on large-scale creative projects from start to finish.
This person will manage our data graphics, illustration, and photography teams. Our visual journalists are charged with elevating the look and feel of all our stories, from breaking news coverage to award-winning features and investigations. We are seeking someone who is cautiously optimistic about generative AI and excited to explore how innovative technology can enable our team to tell more engaging visual stories.
This role reports directly to the deputy global editor-in-chief and will be a member of our editorial leadership team. This role will be based at our headquarters in New York City.
Key Responsibilities:
Hire, train, and mentor a team of full-time and freelance creatives, including data journalists, illustrators, and photographers.
Work alongside reporters and editors on some of our most ambitious reporting projects from start to finish, including the ideation, planning, execution, and delivery of visual content across all platforms.
Work closely with Insider's UX design and marketing teams, ensuring that our editorial visual content is integrated seamlessly into the overall experience of the site.
Develop and maintain a visual style guide that ensures consistency across all platforms and publications.
Stay up-to-date with industry trends and emerging technologies related to visual storytelling, and apply this knowledge to the development of Insider's creative capabilities.
Collaborate closely across editorial departments — including our business, news, life, and video newsrooms — to produce multimedia content that tells stories in innovative and engaging ways.
The Ideal Candidate Has:
A breadth of experience leading creative teams, ideally in a newsroom setting.
A track record of leading big complex projects with a lot of stakeholders, pivoting, changing course, and responding quickly to urgent needs.
Excellent taste and a strong sense of visual storytelling, with a portfolio that demonstrates an ability to create compelling visual content across a range of formats.
A network of freelance art directors, illustrators, and photographers to draw on.
Expert knowledge of the Adobe Creative Suite.
Experience using project management platforms such as Airtable.
Excitement about using generative AI and other emerging technologies to create engaging visual content.
Salary & Benefits:
Salary: $175,000-$250,000 (dependent on skills, experience, and competencies)
